Privacy Policy

This policy explains what personal data Shadoworks Lighting and Production Design collects when you use this website or get in touch with us, why we collect it, and what rights you have over it.

Plain-English template notice: this policy has been written to give visitors an accurate, honest account of our data practices. It is not a substitute for advice from a qualified solicitor. Before relying on it as a live legal document, we recommend having it reviewed by a professional, particularly given that Shadoworks operates worldwide.

1. Who we are

Shadoworks Lighting and Production Design ("Shadoworks", "we", "us", "our") is the data controller for the personal data described in this policy. If you have any questions about this policy or how we handle your data, contact us at hello@shadoworkslightingdesign.com.

2. What data we collect

We collect personal data when you voluntarily provide it to us — we don't use tracking cookies, analytics, or any other automated method of collecting data about visitors to this site (see Section 6).

When you use the "Start a Project" form

  • Name
  • Email address
  • Phone number (optional)
  • Company or event name (optional)
  • Event location and date(s)
  • The service(s) you're enquiring about
  • Any project details you choose to describe in the free-text field

When you email or call us directly

If you contact us via the email address or phone numbers listed on our Get in Touch page, we'll hold whatever information you choose to share with us in that message or call, for as long as is reasonably necessary to respond and manage the enquiry.

3. Why we use it, and our lawful basis

We use the information you provide to respond to your enquiry, discuss and scope potential projects, and — where a project goes ahead — to deliver our services and manage the resulting business relationship.

Our lawful basis for processing this data is:

  • Legitimate interests — responding to enquiries sent to us is a core, expected part of running a lighting design business, and processing your details for this purpose doesn't override your rights and freedoms.
  • Contract or steps towards a contract — where your enquiry progresses into a proposal or booking, we process your data as necessary to prepare for and perform that contract.

We do not use your data for marketing you haven't asked for, and we do not sell or rent your personal data to any third party.

4. Third parties who process your data

The "Start a Project" form on this site is delivered using FormSubmit, a third-party form-processing service that receives your submission and forwards it to our inbox. We don't run our own form-handling server, so this step is unavoidable if you use the form.

You can read FormSubmit's own privacy practices at formsubmit.co/privacy-policy. If you'd rather not have your enquiry pass through a third-party service at all, you're welcome to email us directly at hello@shadoworkslightingdesign.com instead.

We don't share your data with any other third party except where required by law, or with your explicit consent.

5. How long we keep your data

We keep enquiry data for as long as is necessary to respond to you and, where a project proceeds, for the duration of that business relationship plus a reasonable period afterwards for accounting and record-keeping purposes. Where an enquiry doesn't lead to a project, we aim to delete or anonymise the associated personal data within a reasonable period once it's clear the enquiry is no longer active.

6. Cookies and tracking

This website does not currently use analytics, advertising, or tracking cookies of any kind. If that changes in the future — for example, if we add website analytics — we will update this policy and, where required, add a cookie consent mechanism at that time.

7. Your rights

Depending on where you're located, data protection law gives you a number of rights over your personal data, including the right to:

  • Ask us what personal data we hold about you, and get a copy of it
  • Ask us to correct inaccurate or incomplete data
  • Ask us to delete your data
  • Ask us to restrict or object to certain processing
  • Ask for your data in a portable format
  • Withdraw consent at any time, where we're relying on consent

To exercise any of these rights, contact us at hello@shadoworkslightingdesign.com. If you're in the UK and you're not satisfied with how we've handled your data, you also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

8. Security

We take reasonable technical and organisational steps to protect the personal data you share with us from unauthorised access, loss, or misuse. No method of transmission over the internet is completely secure, so we can't guarantee absolute security, but we treat your data with care.

9. Changes to this policy

We may update this policy from time to time — for example, if we start using a new tool or service that processes personal data. The "Last updated" date at the top of this page reflects the most recent revision.
